How to Install the CoffeePals App

To find the CoffeePals app in the Microsoft Teams store, you can search for CoffeePals in the app tabs. Alternatively, you can click this link which will open the app right in Teams.

||| If you can't find the CoffeePals app in the Teams store, contact your IT administrator to get permission to view the app within Teams. We have a helpful article on how to do that here.

Create a CoffeePals Team

We recommend creating a new CoffeePals team in MS Teams and inviting people to join this team. This way, people are only matched with other people who want to be matched. This makes it more likely that the meetings actually happen. You can however add it to an existing team.

Click Join or create a team at the bottom of the team list in Microsoft Teams.

Click Create Team.

Click From scratch and select Public (recommended) or Private.

What is CoffeePals?

CoffeePals connects users in your Microsoft Teams team for periodic coffee chats and other fun programs. Once your team admin adds the CoffeePals app to your team and creates a program, you will receive an introduction message from the CoffeePals app. If at any point you get lost, just send a message that says "help" to get a list of things you can do. Welcome Message

Your team admin can set the frequency (1 per week or once every 2 weeks ect), the time matches get sent out and how large the match groups are (1 - 8 people). You can see when matches get sent by sending a personal message to the CoffeePals app that says Settings, and accessing the link you receive. In the settings, you can also pause matches until a certain date (in case you are too busy or go on vacation), or pause matches indefinitely.

You can also belong to multiple programs. Maybe you have a program running for your immediate team to become closer with those you work closely with. You may also be apart of an organization-wide program where you get to meet people from all over. In both cases, you can manage settings for all of these teams under Settings. Settings in Teams

How to set up Automated Match Scheduling

Automated scheduling eliminates the need for participants to go through the process of finding a suitable meeting time with their match.

How does it work?

With automated scheduling, CoffeePals will automatically schedule a calendar event for each match group as soon as they are matched. This process considers the availability, working hours, and scheduling preferences of each user to find a suitable meeting time for them. Once the event is scheduled, users have the option to reschedule directly on the match card in Microsoft Teams. In the event that CoffeePals cannot find a suitable time, it will utilize the "Connected Calendar" as a fallback option.

Enabling Automated Scheduling

To enable automated scheduling, we need permission from your IT admins to access the calendar information of participants. Once we have this permission, setting up automated scheduling becomes a straightforward process.

Go to the Programs page in the dashboard, click on the program you want to enable “Automated Scheduling” for, and go to the Configuration tab.
Scroll down to find “Messages and meeting scheduling”, click on “Edit”, and select Automated Scheduling from the list of scheduling options

Before your organization can use CoffeePals, the app must be accessible by users. You can achieve this by setting up permission policies in the Teams Admin Center. In this article we will discuss:

Giving permission to the whole organization
Giving permission to a select group of people
Creating a setup Policy for the CoffeePals team (so users do not need to install the app individually)

How to create an App Permission Policy for the Entire Organization

To allow the entire organization access to an application in the Microsoft Teams admin center through the app permission policy, follow these steps:

Open the Microsoft Teams admin center in your web browser here.
Sign in to the admin center using your Office 365 admin credentials.
In the left-hand navigation menu, click on the "Teams apps" tab and then select "Permission policies" from the drop-down menu.

Click on the "Add" button to create a new app permission policy. Alternatively, click your "Global" policy to edit.
Give your app permission policy a name and description, then click "Next" to continue.
In the "Third-party Apps" section, select "Allow specific apps and block all others".
