How to Announce CoffeePals to Your Organization

As you start rolling out CoffeePals, you want to try to get as many people as you can to join the program. This way, you can ensure maximum participation and build stronger connections across your team.

Not sure how to do it? Don't worry, here we will cover some ideas that can help.

Choose where to announce CoffeePals


There are likely several tools you have at your disposal for announcing CoffeePals to your organization. People often miss a single channel so we recommend choosing multiple channels to announce the new initiative. These include:

Teams
Yammer
Viva
Email

Once you choose the medium, you can get a link to the team that CoffeePals is installed on to share. People who click this link will be prompted to join the team. Here's how you can get a link to the team:



Example Posts and Messages



Teams is an excellent way to spread the word about CoffeePals. Below are some examples of posts you can use in your Teams' all-company channel to promote CoffeePals:

Example 1 (remote)


Hey @everyone!

We're thrilled to announce that CoffeePals is now available in Teams to help us get to know each other better remotely. CoffeePals will randomly introduce everyone in the <Insert CoffeePals Team name> team every week, and encourage them to meet for a virtual cup of coffee (or tea!) through Teams. It also posts fun, thought-provoking questions into the teams channel for you to answer over text. Questions like "What is your favorite vacation spot🏝️" to re-create conversations that would happen around the coffee maker. You can opt-in by joining the <team name> team or clicking this link <insert link to team>.

Example 2 (hybrid)


Hey @everyone!

We have some exciting news to share with you all. We've added the CoffeePals to give people the opportunity to meet one another!

CoffeePals will randomly introduce everyone in our <Insert CoffeePals Team name> every week and encourage them to have a virtual (or in-person if you can) coffee break through Teams. It will also post fun and thought-provoking questions in the teams channel for you to answer over text. Questions like "What's a book you've read recently that you MUST recommend📚" to recreate conversations that would happen around the coffee maker.

Example 3 (in person)


We're excited to announce that we're starting a coffee chats with our new CoffeePals app! Each week, CoffeePals will match everyone in the <insert team name> team and encourage them to meet for CoffeePals.

We encourage everyone to take a break and connect with each other! Plus, CoffeePals will be posting fun, thought-provoking conversation starters in the channel to answer in text. Questions such as "What's your favorite hobby?🎨" to get the discussions flowing.

Example 4 (More pzazz)


Hi Everyone,

Do you like drinking coffee and making new friends ☕? Because we just installed a new Teams bot called CoffeePals that lets you do just that. Join the CoffeePals team and you'll get paired with a new coffee pal every Tuesday🤝.

Maybe you don't like coffee, you can take a walk🚶🏽, grab lunch 🍱 or show them your super cool rock collection🪨. We just want to help everyone get to know each other better.

If you find it's just not for you, leave the team or send the command "disable-matching" and you will no longer be matched😎. You can also just hang around for the Coffee Maker questions. These are fun, thought-provoking conversation starters that are sent to the channel to answer in text. Questions such as "What's your favorite hobby?🎨" to get the discussions flowing.
