How to manage user attributes

Managing User Attributes in CoffeePals

User attributes in CoffeePals help you organize and segment your users based on key characteristics like start date, location, department, and more. These attributes are essential for building rule-based audiences and customizing your CoffeePals experience.

🧩 Types of User Attributes

CoffeePals supports a variety of attribute types to give you flexible control over user data:

  • Date – e.g., Start date, hire date
  • Single Select – e.g., Department, Office location
  • Multi-Select – e.g., Skills, Interests
  • Number – e.g., Years of experience, Office floor
  • Yes/No (Boolean) – e.g., Is manager
  • Text Input – e.g., Job title, Favorite coffee order

Each attribute type supports different use cases, and they can all be used to create dynamic audiences.

👤 Changing a Single User's Attributes

  1. Navigate to the All Users Page

  2. Open the User Profile

3. Edit Attributes

In the profile view, select the attribute you want to change, modify its value, and click Save.

This is ideal for making quick updates to an individual user’s information.

    1. From the left-side menu, click on Users → All Users.
  2. Open the Bulk Import Tool
    1. Click the three-dot menu in the top left of the user table and select “Import user attribute data.”
Bulk Upload HRIS attributes

3. Download the Template

Download the current list of users as an Excel file (.xlsx). This file will include existing users and their attributes.

4. Make Your Changes

Open the file and update user attribute values as needed. Follow the formatting each attribute type expects — dates as YYYY-MM-DD, and comma-separated values for Multi-Select fields. Numbers are imported as numbers, so an employee ID, a floor number or a postal code stays exactly as you typed it; only cells you have formatted as dates in Excel are read as dates.

CoffeePals reads .xlsx and .csv files. Older .xls files are no longer supported — if you upload one, you'll see “Legacy .xls files are not supported. Please re-save the file as .xlsx and try again.” Open the file in Excel, choose File → Save As and save it as .xlsx. One upload can be up to 10MB and 10,000 rows — split anything larger into separate files and upload them one at a time.

5. Re-Upload the File Once your changes are made, upload the updated file back into the system to apply the changes in bulk. If there are any issues with the format, CoffeePals will provide an error CSV which outlines the issues in each row. You can modify this sheet and re-upload it.

This is the fastest way to manage large-scale updates across your organization.
