How to integrate HRIS
Integrating Your HRIS with CoffeePals
This feature is available on our pro and enterprise plan.
Connecting your HRIS to CoffeePals streamlines member management by automatically updating the member list with new hires and role changes. You can also select which fields to import, allowing CoffeePals to create detailed employee attributes that enable more accurate and relevant matching.

How to Connect Your HRIS
Navigate to Settings > Organization Settings in the CoffeePals dashboard.
Scroll down to the Integrations section.
Click the Connect HRIS button.

Select your integration provider from the list.

Authenticate with your HRIS provider.

You may need to consult your IT team to ensure the correct permissions are granted and API tokens are provided.
Once authenticated, choose the user attributes to import. The available fields are:
- Department name
- First Name
- Last Name
- Birthday
- Display Name
- Division
- Employment End Date
- Employment Start Date
- Employment Status
- Preferred Language
- Timezone
- Job Title
- Works Remote

Click the Start Sync button.

Syncing may take up to 10 minutes.
Once the sync is complete, any users without a connected Teams or Slack account will automatically receive an email prompting them to connect their account to CoffeePals. Users who've installed the CoffeePals app in Teams or Slack will automatically be connected to their respective HRIS data by email.
FAQ
What can I do with HRIS attributes?
You can use attributes to create custom audiences based on rules. This can include grouping users by department, or creating audiences for users who’ve joined the company in the last 60 days. These audiences automatically sync with your HRIS data to ensure they stay up to date. When HRIS data changes, the audiences update automatically to reflect those changes.
How often does CoffeePals sync with the HRIS?
The sync runs automatically every 24 hours.
How do I disconnect the HRIS integration?
Go to the Integration Settings page and click the trash can icon next to the HRIS integration.
What does an "Invited" user status mean?
A user is considered "invited" if they have been added through the HRIS integration but have not yet connected their Teams or Slack account.
You can create audiences and programs with invited users, but they cannot participate until they complete the connection. Once a user has connected their Teams or Slack account, their status will change to active.
Can I change the HRIS attributes in CoffeePals?
No. Attributes imported from your HRIS can only be modified in the HRIS system. Changes must be made there, and will be reflected in CoffeePals on the next sync.
